General Terms & Conditions and Cancellation Policy
1. Scope of application
The Terms & Conditions govern the contractual relationship between the Conference on Molecular Biology of Plants participant and the organizer, the Section Plant Physiology and Molecular Biology of Plants in the DBG.
2. Registration
Participants can register online by using the event website. The registration constitutes a binding offer for the conclusion of an agreement. The agreement shall only be deemed to be concluded upon acceptance by the registered association the Section Plant Physiology and Molecular Biology of Plants in the DBG. If the registration for the event can be accepted, the participants will immediately receive a confirmation of registration by email.
3. Participation fee
The participation fee can be found on the registration page. The fee indicated there includes participation in the event (overnight stay at Conference site Sportschule Hennef, board, including one non-alcoholic beverage at mealtimes, along with snacks during the breaks incl. coffee, handouts). The price does not include the costs of travel to the event venue Hennef or beverages outside mealtimes. All our prices are inclusive of value-added tax (VAT).
4. Cancellation
Substitute participant
You can designate another participant as a substitute for the registered participant at any time. You will not incur any additional costs as a result as long as there are no problems associated with the assignment of beds (e.g. due to a different gender).
Cancellation
You can cancel the agreement at any time. However, this can only be done in writing. Please address your cancellation directly to the abovementioned mailing address or send an email to the conference office.
If the notice of cancellation is received by the stated address of the Sections conference organization team up to 40 days before the beginning of the conference, the reservation will be cancelled. You will be charged a processing fee of EUR 25. In the event of a request for cancellation received after 39 days and/or non-attendance, the full conference fee will be charged. In this case, the conference papers will be sent to the registered participant upon request.
5. Cancellation of the event
The Section Plant Physiology and Molecular Biology of Plants in the DBG can cancel the event and give notice to terminate the agreement for cause at any time for organizational reasons or due to other unforeseen major events (force majeure, too few participants or if multiple speakers are unable to present, among others). In this case, the parties’ mutual obligations to perform do not apply; the participants will be paid back the fee they have already paid. Any other liability and compensation claims, in particular, reimbursement for tickets for airplane, train or other means of transport already booked and hotel reservations already made shall be excluded insofar as intentional or gross negligence is not involved.
6. Subject to change
The Section Plant Physiology and Molecular Biology of Plants in the DBG is authorised to make necessary changes in respect of contents, methods and organization or deviations prior to or during the event, insofar as they do not significantly change the benefit of the announced event for the participant. We are authorised to replace the planned presenter if necessary (e.g. in the event of illness, accident) by other persons with similar qualification with regard to the announced topic.
7. Liability
The Section Plant Physiology and Molecular Biology of Plants in the DBG shall only be liable without limitation for intentional and gross negligence on the part of its legal representatives and vicarious agents. The Section Plant Physiology and Molecular Biology of Plants in the DBG shall not be liable for any loss of objects brought to the event.
8. Copyright, images
The participants recognise the copyrights of the Section Plant Physiology and Molecular Biology of Plants in the DBG and/or the presenter/a third party for the event papers. The papers may only be used by the participants themselves and may only be copied, published or passed on to third parties in full or as excerpts with the prior written consent of the Section Plant Physiology and Molecular Biology of Plants in the DBG, and the presenter and/or third party.
Audio-visual recordings of the presentations are prohibited. Please refrain from disseminating the images displayed in the presentations unless the presenter has stated it otherwise in the beginning of his/her presentation.
The Section Plant Physiology and Molecular Biology of Plants in the DBG is authorised to prepare commercial images and videos of, at and in connection with the event or have same prepared and, in particular, to use same for marketing purposes. The participant shall grant the Section Plant Physiology and Molecular Biology of Plants in the DBG rights of use for such images and videos at no charge and with no limitation in terms of space and time for images for which rights for own images arise for the participant.
9. Right to cancel for consumers
If the participant is a consumer within the meaning of Section § 13 of the German Civil Code (BGB), the following shall apply:
Information regarding cancellation
Right of cancellation: The participant can cancel the contractual declaration within 14 days in any form without giving reasons in accordance with Section 355 of the German Civil Code (BGB). The deadline for cancellation shall be 14 days from the day the agreement is entered into.
Timely dispatch of the cancellation shall suffice for compliance with the deadline. The cancellation must be addressed to the Section’s conference office.
Consequences of cancellation: In the event of a cancellation, payments received by either party must be returned if applicable. The parties must comply with their obligation to return payments within 30 days. The term applying for the participant shall begin upon dispatch of the cancellation declaration; the term applying for “name of the registered association“ shall begin upon receipt of such declaration.
10. Final provisions
Ancillary agreements shall only be valid if effected in writing. This shall also apply for any amendment of this written form clause. Any general terms and conditions of the participant shall not apply.
In the event that one of the provisions of these General Standard Terms and Conditions is invalid or becomes so, such invalidity shall not affect the validity of the other provisions. The invalid provision shall be replaced by an appropriate and admissible provision corresponding to the spirit and purpose of these General Terms and Conditions.
The legal seat of the Section, Berlin, shall be the place of performance and jurisdiction.
